Where the money leaks
Signs your copier and print setup is costing you more than it should
Print and mailroom equipment rarely gets a second look once it's installed. That's usually where the overspend and the security gaps sit.
Leases that renew on their own
Auto-renewal clauses and short notice windows lock you into old equipment at old prices.
Cost per page nobody has checked
Overage charges, color clicks and minimums that no longer match how much you actually print.
Unsecured devices on your network
MFPs store scanned documents and sit on the network, often with default passwords and old firmware.
A different fleet at every location
Mixed brands, contracts and service providers across offices make costs hard to see and harder to control.
Paying a print shop for work you could run in-house
Marketing pieces, statements, signage and labels that cost more and take longer outsourced.
Old drives leaving the building
Returned copiers and retired laptops can carry patient, client and employee data with them.

Choosing a model
Lease, buy or managed print: which fits your company?
There's no single right answer. We model each option against your print volume, cash flow and growth plans before you sign.
| Option | Best for | How you pay | Watch for |
|---|---|---|---|
| Copier lease | Companies that want current equipment and predictable monthly costs | Fixed monthly payment over a set term, usually plus a service agreement | Auto-renewal clauses, end-of-term buyout terms, return and shipping fees |
| Purchase | Steady, lower-volume printing and equipment you'll keep for years | Up-front cost, plus a separate service and supplies contract | Aging hardware, firmware support ending, resale and disposal |
| Managed print services | Multi-location companies that want one provider for every device | Cost per page (or per device) that covers service, toner and parts | Volume minimums, overage rates, what's actually included |

FAQs
Copier, print and office equipment questions we hear most
Is it better to lease or buy a copier?
Leasing keeps cash free and equipment current, and most growing companies lease their primary MFPs. Buying can cost less over time if your volume is steady and you plan to keep the device for years. We compare the total cost of both, including service and supplies, before you decide.
How much does it cost to lease a copier for a business?
It depends on speed, color, finishing options and how much you print. A lease usually has two parts: a monthly equipment payment and a service agreement billed per page. We’ll show you what comparable companies pay.
Can you help us get out of, or renegotiate, our current copier lease?
Often, yes. We review your lease for the end date, notice window, auto-renewal and buyout terms. Depending on the contract, a new provider may be able to buy out the remaining balance, or you can renegotiate before the renewal locks in.
What are managed print services?
One provider manages all of your printers and copiers for a cost per page: service, toner, parts, monitoring and automatic supply delivery. It’s a good fit for companies with several locations or a mix of brands that are hard to track.
How do we protect the data on a copier's hard drive?
Choose devices with drive encryption, turn on secure print release and keep firmware updated. When a lease ends, have the drive wiped to a recognized standard or physically destroyed, and get documentation for your records.
What is pressure seal, and who needs it?
A pressure sealer folds and seals a printed form into its own mailer, with no envelope. It suits organizations that mail confidential documents at volume, such as statements, paychecks, tax forms, notices and test results.
Who installs and services the equipment?
Our local equipment partners handle delivery, installation, training and service. We stay involved as your advisor: we connect the devices to your network and IT setup, and we step in if service levels slip.
