AI governance for mid-sized companies

An AI Governance Framework Your Whole Company Can Follow

AI is already spreading through your company one department at a time. A clear governance framework sets which tools are approved, what data can go into them and who decides, so teams can move fast without creating risk.

The problem

Signs you need AI governance now

Shadow AI

Employees use free AI tools with company data, and nobody knows which ones.

Every department buys its own

Sales, marketing and operations each pay for overlapping AI subscriptions.

Customers and auditors are asking

Contracts, cyber insurance and audits now include questions about AI use.

No one owns the decision

IT, legal and leadership each assume someone else has it covered.

The framework

The five parts of a practical AI governance framework

1. AI use policy

Plain-English rules for what employees can and can’t do with AI, signed by everyone.

2. Approved tools list

Which AI tools are approved, for which work, with a simple way to request new ones.

3. Data classification

Which data can go into which tools, from public to confidential.

4. Ownership and review

An AI steering group, a decision process and a quarterly review.

5. Training and monitoring

Role-based training plus monitoring that shows how AI is used.

Governance that each leader can stand behind

For the CEO

A clear position on AI for the board, customers and staff.

For the CFO

One AI budget with no duplicate subscriptions.

For IT and security

Approved tools, data rules and visibility into use.

How it works

How we put AI governance in place

  1. Discover

Our AI solutions engineer audits the tools in use through surveys, network data and expense reports. They will connect you with best-fit providers for your company’s needs.

  2. Draft

The provider you select will assist your leadership team in writing the policy, tools list and data rules.

  3. Launch

They roll out training and the request process, and apply technical controls.

  4. Review

Quarterly reviews are typically recommended to keep the framework current as AI tools change.

AI governance questions we hear most

What is shadow AI?

Shadow AI is any AI tool employees use for work without approval, such as pasting customer data into a free chatbot. It’s common and usually well-meant, but it can expose confidential data.

Do we need an AI policy if we are not using AI yet?

Yes. Your employees almost certainly are. A short policy now prevents problems and makes rollout easier later.

Which regulations apply to AI?

It depends on your industry and customers: HIPAA, PCI, state privacy laws and contract terms are common. My Resource Partners does not provide legal advice. You may wish to confirm your governance plan with counsel.

How long does it take?

A first policy, tools list and data rules can usually be in place within 30–60 days.
